Operations Coordinator
Position Summary
We are seeking a dependable and highly organized Operations Coordinator to oversee daily office operations, tenant relations, and financial administrative tasks for our storage and rental properties.
This position plays a key role in maintaining efficient business operations by managing customer service, financial recordkeeping, property administration, and general office coordination. The Operations Coordinator serves as the primary point of contact for tenants and works closely with management to ensure smooth day-to-day operations.

Performance-Based Compensation Path
Starting Pay: $20.00+ per hour
Planned wage progression based on performance and mastery of responsibilities:
6 Month Review – Performance evaluation with opportunity for wage increase
12 Month Review – Eligible for additional raise and expanded responsibilities
Long-Term Role Development – Opportunity for continued wage growth as responsibilities and experience expand

Key Responsibilities
Office Operations
Open and close the office following daily procedures
Maintain organized office records, tenant files, and company documentation
Answer phone calls professionally and assist customers with rental inquiries
Coordinate communication between tenants, vendors, and management
Ensure company policies and state regulations are followed
Maintain confidentiality of tenant, financial, and employee information
Monitor daily activity reports and maintain operational logs
Tenant & Customer Management
Assist tenants with new rentals, move-ins, and account questions
Explain rental terms, policies, and rates to tenants
Process tenant payments and issue receipts
Maintain tenant communication regarding payments and account status
Send late notices and assist with delinquent account follow-up
Maintain records for multiple rental properties and storage units
Assist with preparation and documentation for storage auctions when necessary
+Property Oversight
Conduct routine walk-through inspections of storage units to monitor activity and facility conditions
Identify unknown move-outs, maintenance issues, or irregular activity
Perform light cleaning of units after move-outs when needed
Maintain general cleanliness of the property and office areas
Track units requiring repairs, maintenance, or cleaning
Financial Administration
Process deposits and maintain accurate financial records
Input payments and transactions into accounting software
Assist with bookkeeping duties including reconciliations and reporting
Maintain records for rental income, expenses, and job-related accounting
Prepare documentation for the company accountant
Payroll & HR Support
Assist with employee payroll processing and recordkeeping
Maintain employee files and employment documentation
Coordinate new hire paperwork and employment verification
Maintain records related to payroll taxes, reports, and employee deductions
Assist management with HR administrative tasks when needed
Business & Compliance Reporting
Maintain spreadsheets and reports related to rental income and job tracking
Assist with documentation needed for audits, tax preparation, and year-end reporting
Maintain vendor invoices and payment records
Coordinate documentation related to insurance, compliance, and regulatory requirements
Qualifications
High school diploma or equivalent required
Strong organizational and time management skills
Ability to work independently and prioritize tasks
Professional communication and customer service skills
Basic bookkeeping or accounting experience preferred
Experience with office software and ability to learn new systems quickly
Trustworthy and capable of handling confidential information and financial transactions
Work Schedule
Monday – Friday
7:00 AM – 4:00 PM
Occasionally the position may require brief time after 4:00 PM to complete tenant transactions or end-of-day procedures.
